Casepilot is a case-management tool that helps UK homeowners organise and track correspondence relating to new-build property defect complaints, including preparation for referral to the New Homes Ombudsman Service (NHOS). This page sets out how the application handles your data and the terms under which you may use it.
This policy applies to the Casepilot application.
If you connect a Google account, Casepilot requests read and send access to Gmail for the purpose of retrieving and organising correspondence relevant to your case, and sending emails on your behalf when you explicitly choose to send them. Casepilot also stores information you enter directly into the app, such as issue descriptions, log entries, statuses, and referral notes.
Some features (drafting replies, summarising a case, analysing evidence) send relevant case content — such as email text you've selected or case notes — to Anthropic, the provider of the Claude AI models, in order to generate that output. This content is used to generate your requested output and is subject to Anthropic's own data handling terms.
Case metadata you create (issues, statuses, notes, tags, referral information) is stored in cloud storage associated with your account so it's available across your devices. Full email message content is not permanently stored in our cloud storage — it is cached locally on your own device for performance and re-fetched from Gmail as needed.
We do not sell your data. Information is only shared with the third-party services necessary to provide the app's functionality: Google (Gmail access, at your direction), Anthropic (AI features, as described above), and our hosting/infrastructure providers, who store data on our behalf.
You can revoke Casepilot's access to your Google account at any time via your Google Account permissions. To request deletion of data stored by Casepilot, contact us using the details below.
We take reasonable technical measures to protect your data, but no method of transmission or storage is completely secure, and we can't guarantee absolute security.
Casepilot is not directed at, or intended for use by, children.
We may update this policy from time to time. Material changes will be reflected by updating the date at the top of this page.
By using Casepilot, you agree to these terms. You're responsible for the accuracy of information you enter, and for reviewing anything (including AI-drafted content) before sending or relying on it.
Casepilot is a case-organisation tool. It does not provide legal advice, and nothing in the app — including AI-generated summaries, drafts, or analysis — should be treated as a substitute for professional legal or other qualified advice. You should independently verify anything important before acting on it, particularly in connection with a formal complaint or Ombudsman referral.
Content generated by AI features may contain errors or inaccuracies. You are responsible for reviewing and editing any AI-generated draft before you send it or otherwise rely on it.
Casepilot is provided on an "as is" and "as available" basis, without guarantee of uninterrupted or error-free operation.
To the fullest extent permitted by law, Casepilot and its operators are not liable for any indirect, incidental, or consequential loss arising from your use of the app.
You may stop using Casepilot at any time, including by revoking Google account access as described above.
These terms are governed by the laws of England and Wales.
